Area9 IT Solutions (‘Area9’) is committed to providing quality services to our customers and this policy outlines how we manage personal information.

Personal information we collect and why do we collect it
In order to provide our customers with our products and services, Area9 may collect and use personal information about you and others. Personal information is collected for the primary purpose of providing our products and services and if we are not provided with all the personal information we request, we may not be able to supply our products and services.
The type of information we collect includes names, addresses, phone numbers, email addresses, profession or occupation, credit card details (if you buy products or services from us) and other contact details. We also collect resumes and work history details from potential employees.
We do not generally collect or store ‘sensitive information’ such as ethnic origin, religious or philosophical beliefs, political opinion or health information.
Area9 may be required to collect personal information under the Telecommunications Act 1997 and laws made under it, including as required by the Telecommunications (Interception and Access) Amendment (Data Retention) Act 2015.
Personal information collected under Data Retention Law includes subscriber and account details, the source and destination of a communication, the date, time and duration of a communication, or of its connection to a relevant service, the type of communication and the location of equipment, or a line used in connection with a communication.
How we collect personal information
Generally, we collect an individual’s personal information from that individual. For example we collect personal information when you make an enquiry about our products and services, or when you order our products and services.
We may also collect personal information from someone other than the individual, for example from companies with whom you work, other organisations with whom you have dealings, information service providers or from publicly maintained records.
Security of personal information
We take all reasonable steps to keep your personal information secure and to store your personal information in a manner that reasonably protects it from loss, misuse or unauthorised modification or disclosure.
Any personal information collected electronically is stored on secure servers. Our employees are contractually bound to respect the confidentiality of any personal information held by us. Our employees must adhere to company policy to maintain the secrecy of Area9 system access credentials (ie. user name and password).
Area9 also maintains physical security procedures to manage and protect access to our premises and the use and storage of records containing personal information.
Use and disclosure of personal information
We use and disclose the personal information we collect for the purposes indicated above, and for other purposes such as:
- to a third party service providers and contractors, who help us supply our products and services, for example: Information Technology & Communication (ICT) manufacturers, suppliers or vendors to help resolve technical problems, or to third party contractors to resolve technical problems or install equipment at a customer site on our behalf.
- we may be contractually required or have a statutory obligation to disclose personal information we collect to auditors who conduct audits of our business and services, or to government agencies.
- to a third party involved in a dealing or proposed dealing (including a sale) of all or part of our assets and business;
- to a third party creditor or a financial institution; or
- the disclosure is permitted, required or authorised by or under law.
We may use personal information to advise the individual concerned of new products or services or general information about us. Customers can ask to be removed from the relevant circulation list by contacting Area9 sales@area9.com.au;
Access to your personal information
You may access the personal information we hold about you to update and/or correct it, subject to certain exceptions. Exceptions may include: the access affects the privacy of others; the request for access is frivolous or vexatious; there are existing or anticipated legal proceedings; or such access can be denied under law or by a law enforcement agency.

Area9 will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your personal information.
In order to protect your personal information we may require identification from you before releasing the requested information.
Maintaining the quality of your personal information
It is important to us that your personal information is up to date. We will take reasonable steps to make sure that your personal information is accurate, complete and up-to-date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
