Unleashing Operational Efficiency: Insights from the itSMF Australia Conference

By Robert Thompson, Enterprise Manager at Area9

The recent itSMF Australia conference provided a unique opportunity to connect, share, and explore how emerging technologies are shaping the future of IT service management (ITSM). For those unfamiliar, itSMF is one of the premier forums for IT professionals, drawing in participants from around the world. This year, Area9 was proud to be a sponsor, and I had the privilege of co-presenting with Jason D’Cruz, Group Product Manager at Atlassian. Together, we delivered a session titled “Workflow Management, Operational Efficiency,” highlighting how Atlassian’s enterprise service management (ESM) solutions can transform operations across industries.

In this blog, I’ll share key takeaways from the presentation and the event as a whole, including how organisations can leverage workflow management and operational efficiency to thrive in today’s fast-paced business environment.

The Growing Role of Enterprise Service Management

One of the biggest themes from the conference was the increasing importance of enterprise service management (ESM) as organisations face pressure to operate more efficiently. ITSM has traditionally been confined to IT departments, but we’re seeing a shift toward using ITSM principles across an entire organisation. This is where ESM comes into play.

Atlassian’s ESM solutions, including Jira Service Management, are a perfect example of how workflow management can be deployed beyond IT. During our presentation, Jason and I emphasised that effective workflow management isn’t just about resolving IT incidents or requests quickly. It’s about creating seamless, efficient processes across all departments—from HR to finance, marketing to legal.

Why Workflow Management Matters

In today’s world, operational efficiency is paramount. Whether it’s streamlining internal requests, reducing bottlenecks, or improving communication, the impact of inefficient workflows can ripple through an organisation. Yet, we’ve found that many businesses still manage workflows in silos, resulting in duplicated efforts, miscommunication, and delays.

This is where an integrated platform like Atlassian’s Jira Service Management can make all the difference. By providing a single point of contact for all service requests, businesses can standardise and automate their processes, making it easier to track progress, allocate resources, and resolve issues in a timely manner.

During our talk, Jason and I illustrated real-world examples of businesses that have transformed their operations using ESM tools. One company implemented Atlassian’s solutions to streamline its HR department’s onboarding process. What used to take weeks, involving numerous emails and manual processes, was reduced to just a few days. The result? Faster onboarding, happier employees, and more time for HR to focus on strategic initiatives rather than mundane paperwork.

Breaking Down Silos for Better Collaboration

A key point that resonated with many attendees was the need to break down silos between departments. Far too often, departments operate independently, leading to misaligned priorities, missed deadlines, and general inefficiencies. Workflow management tools like Jira Service Management enable businesses to foster collaboration by giving all stakeholders visibility into workflows, regardless of their department.

For example, consider the marketing and legal departments. Legal often needs to review marketing materials before they go public, but the back-and-forth communication can be inefficient. By utilising Jira Service Management, both departments can track the status of a request, set deadlines, and ensure nothing falls through the cracks. This real-time visibility eliminates the need for endless email chains and manual follow-ups, accelerating decision-making and time-to-market.

Jason and I emphasised that these gains in operational efficiency extend across all business functions. Whether it’s HR handling employee requests, finance processing expenses, or IT resolving technical issues, ESM tools offer transparency and collaboration that lead to faster outcomes.

Automating for Success

Automation was another critical theme during the conference, particularly in our presentation. Automation is no longer a luxury; it’s a necessity for businesses that want to remain competitive. Atlassian’s ESM solutions allow businesses to automate repetitive tasks, freeing up employees to focus on more strategic, value-driven work.

We demonstrated how automation can be applied across various use cases. In HR, for instance, automating the approval process for leave requests can significantly reduce the administrative burden. Similarly, in IT, automating the resolution of low-priority tickets ensures that teams can focus their attention on more critical issues without losing track of routine tasks.

But automation isn’t just about doing things faster; it’s about doing things smarter. With Atlassian’s ESM solutions, businesses can set up workflows that automatically route requests to the right people, assign tasks based on priority, and send reminders to ensure deadlines are met. This not only speeds up processes but also reduces the risk of human error, improving overall accuracy and reliability.

Measuring Operational Efficiency

It’s often said that you can’t manage what you can’t measure, and this certainly applies to operational efficiency. Another key takeaway from our presentation was the importance of data-driven decision-making. Atlassian’s ESM solutions come with built-in analytics and reporting features, allowing businesses to track the performance of their workflows in real-time.

By monitoring key metrics such as average response time, ticket resolution rates, and employee satisfaction, businesses can identify bottlenecks and make informed decisions on how to improve their processes. This ability to measure and optimise operational efficiency was something that resonated deeply with conference attendees, as many organisations are looking for tangible ways to demonstrate the value of their IT and business operations.

Real-World Applications and Success Stories

One of the highlights of our presentation was the discussion of real-world success stories. We shared case studies from organisations that had embraced Atlassian’s ESM tools to revolutionise their operations. One of these companies, a large retail organisation, had struggled with managing service requests across multiple departments. Each department had its own system, leading to confusion, duplication of work, and delayed responses.

By implementing Jira Service Management, the company was able to create a unified service desk that managed all requests—from IT to facilities. This centralisation streamlined processes, reduced the time taken to resolve requests, and provided leadership with greater visibility into operational bottlenecks.

Another organisation in the healthcare sector used Atlassian’s automation features to manage its compliance and regulatory workflows. Compliance is a critical concern in healthcare, and by automating routine compliance checks, the organisation was able to reduce the administrative burden on its staff while ensuring that they met all necessary regulatory requirements.

The Future of Workflow Management and Operational Efficiency

As we look toward the future, it’s clear that workflow management and operational efficiency will continue to be top priorities for businesses. The digital transformation is in full swing, and organisations need tools that enable them to adapt quickly to changing conditions. Atlassian’s ESM solutions provide the flexibility, scalability, and automation capabilities that modern businesses require.

In closing, the itSMF Australia event reaffirmed that the future of service management lies in integrated, enterprise-wide solutions that break down silos and empower teams to work more efficiently. At Area9, we’re excited to continue helping organisations unlock their full potential by embracing the power of workflow management and operational efficiency.

By fostering collaboration, automating tasks, and leveraging data-driven insights, businesses can optimise their operations and stay competitive in today’s fast-paced world.
